The P&O Assistant is responsible for accurate, complete and timely personnel administration. The position supports the P&O Manager by tightly organizing and monitoring the administrative foundation of the HR policy. In addition, the P&O Assistant provides supportive facility work, insofar as it affects personnel processes.
A complete, current and error-free personnel administration, in which all personnel files, contracts and mutations are timely and correctly processed, processes are standardized and management and employees can rely on correct and consistent HR information.
Responsibilities
Personnel Administration:
- Manage, update and monitor digital and physical personnel files.
- Processing:
- contracts and contract changes
- salary and function changes
- inflow, through-flow and outflow
- leave and absence records
- Checking the completeness, correctness and timeliness of HR documentation
- Identifying discrepancies and missing data
- Preparation of HR reports and overviews
Support P&O Manager:
- Administrative preparation of HR projects
- Drafting and maintaining procedures, formats and work instructions
- Preparing reports, presentations and management information
Onboarding, transfer and offboarding (administrative):
- Taking care of all administrative steps surrounding the above.
- Preparation and processing of hiring documentation
- Administrative processing upon exit from employment
Terms of employment & legislation:
- Administrative support on terms of employment and benefits
- Application of applicable laws and regulations in personnel administration
- Preparation of documents for audits and controls
Internal communication (executive):
- First point of contact for employees with HR (administrative) questions
- Taking care of standard communication (mailings, newsletters, mutations)
- Referring substantive HR questions to P&O Manager
Facility support:
- Administrative handling of:
- access means (passes, keys, tags)
- Personal Protective Equipment
- Lease cars and ICT registrations
- Maintenance of facility supplies
- Contact with suppliers (orders, notifications)
- All other facility work
KPIs
- 100% correct and timely personnel administration
- No missing or expired contracts/documents
- Timely onboarding throughput and offboarding administration
- Employee satisfaction with HR administrative processing
- Timely and accurate HR reporting
Reports
- Weekly reporting to P&O Manager
- In case of deviations report directly to P&O Manager
